Frequently asked questions about AI workforce deployment
Everything you need to know about designing, deploying, and managing an AI workforce — from pricing to security to implementation timelines.
General
What exactly is an "AI workforce"?
An AI workforce is a team of specialized AI agents, each designed to handle a specific operational role in your business -- like a documentation processor, a client communicator, or an appointment scheduler. They work inside your existing tools (your CRM, your TMS, your practice management system) and handle the repetitive, time-consuming tasks that consume your human team's day.
- Each agent has a defined scope -- it does one job well, not everything poorly.
- Agents read and write data in your real systems, not a separate dashboard you have to check.
- Human escalation paths are built in for every agent -- they know what they can and cannot decide.
How is this different from hiring a virtual assistant or outsourcing?
Virtual assistants and BPO teams are humans doing manual work on your behalf. They scale linearly -- twice the work means twice the cost and twice the management overhead. AI agents scale horizontally: once an agent is trained on your workflows, it handles 10 queries or 10,000 at the same cost, with consistent quality, 24/7 availability, and zero onboarding time for additional capacity.
- No recruitment, training, or management overhead.
- Consistent output quality -- the 500th task is identical in accuracy to the first.
- Operates overnight and on weekends without shift premiums.
Will AI agents replace my team?
No. AI agents replace the tasks your team doesn't want to do and shouldn't be doing -- the repetitive admin, the copy-pasting between systems, the overnight monitoring. Your team still makes every decision that requires judgment, empathy, or strategic thinking. In practice, most clients find their teams become more productive and more satisfied because they're finally doing meaningful work instead of data entry.
What industries do you support?
We currently deploy AI workforces in legal, healthcare, accounting, real estate, recruitment, SaaS, and e-commerce. Each industry has a purpose-built team of agents trained on industry-specific workflows, terminology, and compliance requirements. We are actively expanding into new verticals -- if your industry isn't listed, reach out and we'll assess fit within 48 hours.
What happens when an AI agent encounters something it can't handle?
Every agent has clearly defined escalation boundaries. When an agent hits the edge of its competence -- an unusual request, an ambiguous situation, or anything that requires human judgment -- it stops, packages up the full context (what happened, what it tried, what it recommends), and routes it to the appropriate person on your team. You set the escalation rules, and they're strictly enforced.
- Escalations include full context so your team never starts from scratch.
- You define what gets escalated -- we help you calibrate the thresholds.
- Escalation rates typically drop from 30% to under 10% within the first month as agents learn your patterns.
Technical & Integrations
How do AI agents connect to our existing software?
Agents connect through official APIs, OAuth integrations, and secure webhooks. We support native integrations with major platforms in each industry -- Clio, Epic, QuickBooks, Shopify, Bullhorn, Intercom, and many more. For tools without public APIs, we can build custom connectors. All connections use read/write permissions that you explicitly grant and can revoke at any time.
Is our data secure? Where is it stored?
Your data is encrypted in transit (TLS 1.3) and at rest (AES-256). We process data in isolated environments per client -- your data is never mixed with another client's, and never used to train models for other customers. For healthcare clients, we are HIPAA-compliant with BAA agreements available. Data residency options are available for clients with geographic requirements.
- SOC 2 Type II compliant infrastructure.
- HIPAA-compliant with BAA for healthcare deployments.
- No cross-client data sharing or model training.
- Data residency options: US, EU, AU.
Can we customize agent behavior or are they pre-built?
Both. Each agent starts with a pre-trained foundation for its role (e.g., a documentation processor knows document types, common fields, and validation rules). During onboarding, we configure agents to your specific workflows, terminology, escalation rules, and quality standards. After deployment, agents continue learning from your corrections and feedback. You can adjust behavior at any time through a configuration interface -- no engineering required.
What happens if an integration goes down or an API rate-limits us?
Agents are built with retry logic, circuit breakers, and fallback queues. If an integration is temporarily unavailable, the agent queues its work and retries with exponential backoff. If a system is down for an extended period, the agent flags it to your team and continues processing everything that doesn't depend on that specific integration. You get real-time status on all integrations in your dashboard.
How do you handle accuracy and hallucinations?
Every agent operates within strict guardrails. They pull data from your real systems -- not from general knowledge -- and validate outputs against source data before acting. For high-stakes outputs (compliance checks, legal research, financial calculations), agents include confidence scores and citations so your team can verify. We measure accuracy continuously and flag any drift in performance. Agents are explicitly trained to say "I don't know" rather than guess.
Pricing & Engagement
How much does an AI workforce cost?
We offer three tiers: Workforce Discovery ($1,000-$3,000 one-time) maps your workflows and designs your AI team. Build & Deploy (starting at $5,000 per project) builds and deploys your AI employees with pilot testing. Workforce Management ($1,500-$5,000/month) provides ongoing optimization and support. Most clients start with Discovery to validate fit before committing to a build. The Blueprint document is yours to keep regardless.
Is there a setup fee?
The Workforce Discovery ($1,000-$3,000) covers the initial workflow audit, AI employee design, and Blueprint document. The Build & Deploy phase (starting at $5,000) covers integration setup, employee configuration, and a supervised pilot. There are no hidden fees — everything is scoped and quoted before you commit.
Can we start small and scale up?
Yes, and we recommend it. Most clients start with a single high-impact agent -- usually the one that addresses their most painful daily bottleneck. Once that agent is performing well (typically within 2-4 weeks), they add more agents incrementally. There is no minimum commitment beyond a single agent, and adding a new agent to an existing deployment takes days, not weeks.
What if it doesn't work? Is there a refund or trial period?
Every deployment starts with a two-week supervised pilot where agents run alongside your existing processes. During the pilot, agents process real work but every output is reviewed by your team before it's actioned. If the pilot doesn't demonstrate clear value against the agreed success metrics, you walk away with no ongoing commitment. We have skin in the game -- we only succeed when you see measurable results.
Implementation & Timeline
How long does it take to get up and running?
Most single-agent deployments go live within 5-10 business days. That includes integration setup (1-2 days), workflow mapping and configuration (2-3 days), and a supervised pilot period (5 days minimum). Multi-agent deployments with complex integrations can take 3-4 weeks. We give you a specific timeline during the scoping call, and we stick to it.
What do you need from us during onboarding?
Three things: access credentials for the systems your agents will connect to, 30-60 minutes with the people who currently do the work (so we understand the real workflow, not the documented one), and a point of contact who can answer questions during the pilot. We do the rest. You don't need to write documentation, prepare training data, or involve your IT team beyond granting API access.
- API or OAuth credentials for connected systems.
- A 30-60 minute workflow walkthrough with the current team.
- A designated point of contact for the pilot period.
Do we need technical staff to manage the agents?
No. Agents are managed through a non-technical dashboard where you can see what each agent is doing, review escalations, adjust settings, and monitor performance. If you need to change a workflow or escalation rule, you can do it yourself or ask our team. We handle all maintenance, updates, and infrastructure. The only technical requirement is that someone at your organization can grant API access to your existing tools.
What does ongoing support look like?
You get a dedicated account manager and access to our support team via email and Slack. We monitor agent performance continuously and proactively reach out if we detect accuracy drops, unusual patterns, or integration issues. Monthly review calls are included to assess performance, discuss optimization opportunities, and plan any expansions. Critical issues (agent down, integration failure) are handled within one hour during business hours.
